Ship‑In Repair Service Instructions

For customers who need to ship their product to us for service, we require that you include an initialed and signed copy of our Repair Contract with your shipment.


Repair Contract Requirements

To view and print the Repair Contract, you must have Adobe Acrobat Reader installed on your computer.

After printing the Repair Contract, please read the instructions carefully and complete all required fields. Include the completed contract with your shipped product, along with:

  • Your sales receipt or warranty documentation, if the repair is covered by a manufacturer or third‑party warranty.
  • For non‑warranty repairs, a diagnostic or minimum fee applies.

Freight & Shipping Guidelines

Thank you for choosing to ship your electronic unit to us for repair. Shipping bulky or fragile electronics requires careful preparation. Disputes with carriers like UPS or FedEx due to damage claims are frustrating for everyone, and in our experience, claims are often denied if proper packing procedures are not followed.


Recommended Packing Instructions

  • Use a strong, double‑walled box.
  • If using Styrofoam materials, wrap the unit in a plastic bag or sheeting first to prevent foam particles from entering vents.
  • For reel‑to‑reel units, film projectors, or slide projectors: remove reels and keep them—we do not require these accessories for testing.
  • Secure power cords and accessories separately, and note them on your ship‑in form.


Improper packing can easily result in damage during transit. The best protection we recommend is heat‑expanding foam packaging. We use Sealed Air Instapak Quick RT, which is available from Amazon, eBay, office supply retailers, and packing/shipping specialty stores. This foam is reusable for return shipment and provides superior protection. Typically, four packs per unit are required. Instructions and tutorial videos are available online.


Alternative Packing Options

If expanding foam is unavailable:

  • Tightly wrap the bagged unit thoroughly in bubble wrap.
  • Place it deep inside a double‑walled box filled with packing peanuts or other dense packing material.
  • Pack the box firmly—movement inside the box is the primary cause of shipping damage.

If your product arrives in non‑spec packaging, we may require a packaging upgrade for return shipment. You may also opt to waive the upgrade, provided you grant permission for us to return the item without liability.

Carrier Packing & Insurance Options

You may also take your unit to a UPS or FedEx Store and have them pack it. While they may not always follow industry specifications, they typically assume responsibility for damage if they perform the packing. Be sure to insure the shipment for your desired value.

If a participating The UPS Store® location packs your item using new materials purchased at that location and ships it via UPS, USPS, or DHL, reimbursement coverage applies if the item is lost or damaged. Please note:

  • For UPS shipments, if you do not declare the item value and purchase insurance, the maximum reimbursement is $100.

Additional Requirements & Communication

Please include:

  • A completed and signed Ship‑In Repair Contract.
  • Your initial diagnostic deposit, if quoted (optional).

If payment is not included, we will contact you to arrange credit card payment for the minimum charges. Any deposit submitted will be deducted from your final repair total once we notify you of the technician’s findings and proposed repair plan. Upon receipt of your item, we will contact you and provide your in‑house service ticket number.

Warranty Repairs

For warranty repairs, please include a copy of your original sales receipt with your shipment. Once received, we will contact you with your service number.


How to Complete the Repair Contract Form

  • Fill in all contact information fields.
  • Provide a clear and detailed description of the problem.
  • Attach an additional note if more space is required.

Signature Instructions

  • Warranty repairs: Initial the warranty box (mid‑page) and sign in the Signature field.
  • Out‑of‑warranty repairs: Sign only in the Signature field.

For out‑of‑warranty units, we will contact you to arrange payment of the estimate fee. Please insure your shipment for your desired value and list that amount in the Insurance field above your signature. Once the diagnosis is complete, we will contact you with our findings. Be sure to include all relevant contact details and a clear written description of your unit’s issue to avoid delays.
